C0-OP CONNECT FAQs

GENERAL

What processes are moving over?

Only critical processes will be impacted by the first release. You will have the same functionality that you have today, and changes to the look and feel of the portal will be minimal. The processes moving over are;

·       Create article

·       Amend article

·       Create cost price proposal

·       Create vendor fund

·       View forecast and KPI reports

Are there any change freezes in place whilst the processes move over?

Yes, a change freeze will be implemented across the processes outlined in the table below. Please note the dates shown are hard deadlines. Any processes not listed below are unaffected by the freeze, and you can continue to operate those areas as normal.

How do I access the new platform?

You'll continue to log in via MyApps as you do today. You'll notice a new title titled Co-op Connect [New], as shown below. This is where you'll complete the process moving over to the new platform.

How do I use the new portal?

The new system operates in a similar way to the existing Co-op Connect, so you should be able to navigate it as you do today.

We've updated our user guides with helpful screenshots, which you can access in the existing portal. You can access these by clicking Help & Support in the navigation bar at the top of the screen, then selecting Help Topic.

Note: These will be available from Monday, 16 March 2026.

What’s remaining in the old portal?

Any processes not listed under 'What processes are moving over' will remain unchanged and can be accessed in the usual way.

Are there any other changes?

Yes. There will be a temporary process for Ambient and Frozen derogations, which will need to be managed off-system until the second phase of the portal goes live.

How do I submit a derogation request for ambient and frozen products?

Instead of submitting a derogation request through the portal, you'll need to email the request form to your designated Supply Chain Demand Planner. They'll review the request and confirm the decision back to you. Requests requiring immediate attention must be submitted before 3pm on the same working day.

The request form is available here

How can I access my Forecasting data?

Forecast data can be accessed as normal in the 'Reports' section of the new portal. If you need access to any historic data this will still be available on the old portal.

GETTING HELP

I have a question that’s not answered here. How can I get help?

If you have a technical issue and need to raise it, you should follow the normal routes for support.

We’ve also updated the User Guides which you can access via the existing supplier portal. These will be available from Monday 16th March 2026. You can access these by clicking 'Help & Support' in the navigation bar at the top of the screen, then 'Help Topic'.

We’ll also be arranging a supplier drop-in session in early April, if you’d like to attend this and have your questions answered, please let us know by emailing [email protected]
